S Group consists of 19 independent regional cooperatives and SOK with its subsidiaries.

What information do we collect and how do we use it?

At the S Group, we provide services to our customers in a number of sectors. The services that are provided in the whole of Finland are under SOK’s responsibility. These include:
  • co-op memberships,
  • hotel or restaurant memberships,
  • our online store and
  • hardware stores.
We also use customer data for example for direct marketing, research surveys and analytics.Personal data is also collected through CCTV.The regional cooperatives collect and use personal data locally to produce services in their region, such as a customer account in an automotive store or a hair salon.The S-Bank provides banking and investment services, and is responsible for the processing of personal data related to these services.For more information about the processing of personal data in our different services and our stores, please see the website navigation bar or the links below.

S-Etukortti Customers

How do I know if there is any information about me in the S Group's co-op member and customer register?

Data is saved in the S Group’s co-op member and customer register of the following:
  • Co-op members
  • Other persons in their co-op member households
  • Other customers who have ordered some services provided based on the register (such as a newsletter, an S User Account, etc.)
If you have an S-Etukortti card, some information about you has been saved in the S Group’s co-op member and customer register.You can find out whether any of your information/what information about you is saved in the S Group co-op member and customer register by checking your data in S User Account at https://s-kayttajatili.fi/en or by submitting an order for a register extract via our online form.

What information about me is collected in the S Group's co-op member and customer register?

We collect, for example, information you have provided under a co-op member agreement, such as your name, social security code, contact details and the time you became a co-op member, as well as information you have provided us later, such as information on purchases and ordered/used services.We collect information about your purchases at the product level from the following:
  • S-market stores
  • Prisma stores
  • Sale stores
  • Alepa stores
  • Sokos stores
  • Emotion stores
  • S-Rauta stores
  • ABC service stations
  • S Group restaurants (such as Rosso, Amarillo, Coffee House, Presso, Frans & les Femmes, Pizza & Buffa)

Purchase information from other S Group outlets and partners granting Bonus are entered in the register at the level of the sum total of your receipt. The purchase information is used, for example, to calculate other cash benefits, to target marketing and to develop our business. For which purpose is my personal data used?

The co-op member data is used, for example, to calculate Bonuses, payment method benefits and return of surplus, in member administration and customer service, in the targeting of communications, marketing and content, as well as in the development of the range of benefits and the S Group’s business operations, such as product ranges and the service network. The data is also used to produce various useful services for the co-op members, such as the My Purchases (“Omat ostot”) service.Basic customer data, customer grouping and purchase data, among others, are used in the targeting of marketing and content.More detailed information on the purposes for which customer data is used is available on this data protection website and in the data protection policy of the S Group’s co-op member and customer register.

How can I check my data?

You can check your data in the S Group co-op member and customer register by logging in to S User Account at https://s-kayttajatili.fi/en or by submitting an order for a register extract to be delivered by regular mail via our online form.In S User Account, you can view your data and print out and save it. If you submit an order via the online form, we will send you a registered letter via post. Please be prepared to prove your identity when picking up the letter.

How can I prohibit research surveys?

If you do not want to receive opinion polls and market surveys, such as customer satisfaction surveys, you can issue a prohibition of surveys in the S Group co-op member and customer register. To prohibit such use:
  • Add the prohibition to your details by logging in to S User Account
  • Visit a co-op member service outlet (available at almost all Prisma and Sokos stores);
  • Send a request for a prohibition using the a feedback form – select “asiakasomistajuus” (co-op membership), S-Etukortti card and Bonus as the subject matter
  • call the S Group’s co-op member service at 010 76 5858 (Mon–Fri from 9 am to 4 pm, call rate EUR 0.084 per minute); or
  • Sending an email directly to the data controller at tietosuoja.asiakkuus@sok.fi.
Your email will no longer be used after the prohibition. In some cases, you may still receive a single survey after you have issued the prohibition if the email address list was already generated before you submitted the prohibition.

How will you benefit from the collection of customer data?

We use the collected customer data for the benefit of the co-op members by producing services and benefits.In addition to the Bonus, payment method benefit and return of surplus, a co-op member benefits from the use of the customer data in the form of product ranges that better match their needs, a broader range of services and a broader network of outlets, as well as appropriate marketing and communication.The data is also used to produce various beneficial services for the co-op members. In the My Purchases (“Omat ostot”) service, you can view your own purchases visually in various ways and monitor, for example, how many of the products you have purchased were made in Finland or the carbon footprint of your purchases.You can find more information on the data collected in the S Group’s co-op member and customer register and the purposes for which the data is used on this data protection website and in the data protection policy of the S Group’s co-op member and customer register.

How can I prohibit the processing of specific purchasing data?

You can prohibit the collection and use of data at the product level. To prohibit such use, please
  • add a prohibition to your details by logging into S User Account;
  • visit a co-op member service outlet (available at almost all Prisma and Sokos stores);
  • submit a request for adding the prohibition using our feedback form (select co-op membership [asiakasomistajuus], S-Etukortti and Bonus) or
  • call the S Group’s co-op member service at +358 8 76 5858 (Mon–Fri from 9 am to 4 pm, call rates € 0,084 per minute).
Please note that after you have given the prohibition, you can no longer use any services that require specific purchasing data, such as the My Purchases service.

Will I receive Bonus for my purchases even if I prohibit the collection of specific purchasing information?

Yes, you will. You will accumulate Bonus even if you refuse the collection of specific purchasing data. You cannot utilise services for which specific purchase information is required, however, such as the My Purchases service or smart shopping list, if you prohibit us from saving more detailed information about the purchases you have saved, apart from the sum total of your receipt. Without specific purchasing information, we cannot target marketing and website content based on your needs.

How can I prohibit marketing?

You always have the right to prohibit direct marketing at your own discretion. You can issue a direct marketing prohibition in the S Group co-op member and customer register so that we will not send you any marketing communications or use your personal data to target content. In other words, a direct marketing prohibition will also prevent us from sending the Yhteishyvä magazine to the main member of your co-op member household, as well as email messages indicating the Bonus status. If you want to receive Bonus data but no direct marketing, for example, you can limit the messages you want to receive in more detail.You can control communication by providing different permission and prohibition information:
  • By giving us an email marketing permission, you allow us to send marketing messages from the S Group and the S Group’s cooperation partners by email.
  • By giving us a marketing permission for a mobile device (mobile telephone) you allow us to send marketing messages to your mobile phone or other mobile device, such as text or picture messages from the S Group and the S Group’s cooperation partners.
  • If you do not want to give us an email marketing permission, but would like to receive marketing messages via email from S Group chains of your choice, you can subscribe to newsletters.
  • A prohibition of telephone marketing prevents traditional telemarketing, in other words, marketing calls. We also take into account any prohibitions of phone marketing submitted by you through the Robinson register maintained by ASML.
  • A prohibition of separate direct post prevents other forms of direct marketing by post.
  • A communication prohibition prevents the sending of emails related to co-op member benefits, such as email messages indicating the Bonus status.
  • A communication prohibition on membership and co-op household prevents the sending of email messages on your co-op membership, such as messages on the current status of your co-op contribution, elections of the cooperative’s Council of Representatives and any changes to the structure of your co-op household.
  • A prohibition on product review communications prevents email requests to review products you have purchased.
  • A prohibition of research surveys prevents all kinds of opinion polls and marketing surveys, such as customer satisfaction surveys and customer panel surveys.
  • A direct marketing prohibition prevents direct marketing and the targeting of content. However, those who have issued a direct marketing prohibition may still receive materials on the elections of the cooperative’s Council of Representatives meant for all members who are entitled to vote and any customer bulletins on severe product faults that are a danger to our customers’ lives or health.

How long will you retain my data for?

We retain your personal data only for the duration necessary. The criteria defined for processing personal data within S Group’s co-op member and customer register form the basis for our data retention policy.This processing relies on agreements, consent, legitimate interest, or legal requirements. The duration of data storage based on agreements, consent, and legitimate interest is subject to determination by the controller. Additionally, the necessity of information in resolving errors and ensuring seamless customer continuity influences the storage duration.Customers have the right to request the deletion of their data. Whom must I notify if my name/address changes?

If you submit an official change of address notification to the Digital and Population Data Services Agency and have not submitted a prohibition on the updating of customer register data in the Population Information System, we will automatically receive a notice about your change of address from the Population Information System. If you have submitted a prohibition on the updating of customer register data in the Population Information System, please notify us of your changed address by visiting a co-op member service outlet (available at almost all Prisma and Sokos store; please be prepared to prove your identity) or by calling the S Group’s co-op member service at 010 76 5858 (Mon–Fri from 9 am to 4 pm, call rates € 0,084 per minute).

Where can I maintain my contact details, marketing permissions and prohibitions?

You can update your electronic contact details (email and mobile phone number) and control the use of your personal data by submitting permissions and prohibitions on S User Account, by visiting a co-op member service outlet (available in nearly in all Prisma and Sokos stores), by sending a message via the feedback form – select “asiakasomistajuus” (co-op membership), S-Etukortti card and Bonus as the subject matter – or by calling the S Group’s co-op member service, tel. 010 76 5858 (Mon–Fri from 9 am to 4 pm, call rates € 0,084 per minute).

What should I do if my customer data is incorrect?

You can update some of your personal data yourself by logging in to S User Account. You can also visit a co-op member service outlet (available in nearly in all Prisma and Sokos stores), send a message using our feedback form – select “asiakasomistajuus” (co-op membership), S-Etukortti card and Bonus as the subject matter – or by calling the S Group’s co-op member service, tel. +358 10 76 5858 (Mon–Fri from 9 am to 4 pm, call rate €0.084 per minute).

Whom should I contact if I suspect that another person has seen my data?

If you suspect that your personal data has been misused, please contact the data controller at tietosuoja.asiakkuus@sok.fi without delay. You can also contact the S Group’s Data Protection Officer at tietosuojavastaava@sok.fi.

Disclosure of personal data

Disclosure of personal data occurs when the data controller hands over personal data to another data controller for processing. The second data controller must have the right to receive the personal data and a reason for using the data.

Personal data of minors

We also process the personal data of minors in the S Group’s co-op member and customer register. There is no minimum age for co-op membership, and a minor can also be added to a co-op member household.An agreement is always made on becoming a co-op member or joining a co-op member household. A minor’s agreement must always be signed by their guardian, who also accepts the adding of the minor to the S Group co-op member system and the processing of the minor’s personal data.We may also target advertising to minors to a limited degree. We always implement direct marketing for minors in accordance with legislation and official guidelines.

Hotel and restaurant customer

What data is collected about me?

We collect data about our customers that we need to carry out a hotel stay, restaurant visit, meeting booking and good customer service. In the case of a hotel booking, we need your name and contact details. In addition, filling out a passenger notification is mandatory at all hotels by law. We may add some of the reservation details into our booking system, such as your home address, in connection with your stay, but we will not save your social security code or any similar data in our booking system. We also process information about your future and current bookings in order to make sure that you get the best possible experience and service during your stay.If you are a member of the S-Card loyal customer system, we will collect information about your stay and purchases in order to maintain your membership and to make use of the benefits due to a loyal customer.For more information about the personal data we collect and the grounds for processing it, please visit https://www.sokoshotels.fi/en/privacy-policy and https://www.radissonhotels.com/en-us/privacy.

Where do I report any errors in my data?

When arriving at our hotel, check the pre-completed passenger notification to make sure that your information is correct. Tell the hotel reception staff if any of your data has changed, and we will correct it.If you are a co-op member or an S-Card loyal customer and have made your reservation as registered user on www.sokoshotels.fi, we will receive your contact details from the co-op member or S-Card system. We will automatically obtain any changes to the addresses of co-op members from the Digital and Population Data Services Agency, unless you have prohibited the updating service. Your new address data will be used in connection with your next reservation.

For which purpose is my personal data used?

We want to serve you based on your needs and wishes. When we process data concerning your gender or previous or future bookings, we can pre-complete your passenger card, account for your wishes at the hotel or restaurant and arrange something special for your during a bank holiday or your birthday, for example. The travel business is about experiences, which means that accommodation and visits to restaurants involve a lot more than just the physical setting and surroundings.We may also send you direct marketing based on your consent. You can prohibit direct marketing at any time.

How can I prohibit marketing?

A direct marketing permission issued to the S Group, which also applies to the direct marketing of our hotels and restaurants, can be withdrawn in several ways:
  • you can withdraw your direct marketing permission by logging in to Oma S-kanava;
  • you can use the co-op member service (available in almost all Prisma and Sokos stores);
  • you can submit a request on the withdrawal of your direct marketing permission with the feedback form (in Finnish)– select “asiakasomistajuus” (co-op membership), S-Etukortti card and Bonus as the subject matter;
  • you can call the S Group’s co-op member service, tel. +358 8 76 5858 (Mon–Fri from 8 am to 8 pm, call rate EUR 0.084 per minute); or
  • you can send an email to asiakkuus@sok.fi.
You can withdraw a newsletter subscription or marketing message subscription by clicking the link at the end of the newsletter. Hotel staff are not able to cancel any newsletters you have subscribed to, as we do not manage newsletter subscription information in the hotel reservation system.

How long will my data be retained?

Your data will be automatically deleted from our systems when three years have passed since your last stay and you do not have any valid bookings.

To whom will my data be disclosed?

During your booking, we may use external service providers to carry out various activities relating to customer service and customer relationship management. All of our partners adhere to the S Group’s customer data processing principles, and data processing agreements have been signed with them.When you book accommodation at a Radisson Blu Hotel in Finland, the reservation details will also be disclosed to the Radisson Hotel Group, which will act as an independent data controller. For more information about data protection at the Radisson Hotels Group, please see https://www.radissonhotels.com/en-us/privacy.We will transfer your purchase information within the S Group to accrue your co-op member’s Bonus purchases and S-Card customer points. Furthermore, if you want to accrue points through the customer loyalty programme of an airline, information about your stay may be handed over to our partners.

Why do I have to fill in the passenger notification and why do you need my social security code?

The Accommodation and Hospitality Act (laki majoitus- ja ravitsemistoiminnasta) requires hotels to maintain a passenger register. That is why we ask you to fill in a passenger notification upon your arrival at our hotel. A joint passenger notification may be prepared for travellers on a group trip. The passenger notifications are collected in a passenger register that is stored at the hotel.On the passenger notification, you are asked for your full name and Finnish social security code or date of birth and citizenship, if you are not Finnish. You must also include in the notification full names and social security codes of any spouse and minor children accompanying you, or their dates of birth and address details. In addition, the passenger notification indicates the country from which you are arriving to Finland, the number of your travel document and your date of arrival and departure. The data provided with the passenger notification can be transferred to SOK’s travel and hospitality industry customer register, excluding the social security code which is only processed in the passenger register.The passenger notifications and the information therein are stored for one year from the date of signing, after which time they are disposed of. However, data used for customer service and direct marketing purposes can be stored longer in SOK’s travel and hospitality industry customer register.Passenger data may be disclosed to the authorities within the limits allowed and required by valid legislation, such as when answering the authorities’ requests for information.

Why did I receive a customer or research survey?

A hotel reservation is usually accompanied by an email address that we will use to contact you if necessary. We may also ask for feedback on your stay. The survey will be automatically sent to the email address indicated in the reservation. We use customer feedback to improve our services.Sometimes you may receive a customer service survey even if you have not stayed at our hotel in a while, because you may have booked an overnight stay on behalf of another person and your email was linked to the other person’s data when the booking was confirmed, for example. Another customer may also have incorrectly entered their email when making a reservation. In case of an error, please contact tietosuoja.mara@sok.fi and we will correct your data.

S-Business customers

What data is collected about me?

We collect the following data about our customers:
  • Name and contact details (e.g. telephone number, email, card delivery address, invoicing address)
  • Native language
  • Any marketing prohibitions
  • Vehicle registration number in fuel invoicing
  • Purchase events
  • Chat conversations

Where do I report any errors in my data?

For which purpose is my personal data used?

We use your personal data for the provision of the service (such as ordering an S-Business card and invoicing) and for customer communications. In addition, data stored in our customer register can be processed for marketing purposes by the organisations and business partners belonging to the S Group at any given time.

Why do I receive marketing emails from you to my work address?

We may send our customers information related to S-Business benefits or new features, as well as electronic marketing (email or mobile). For example, we may send you information by email about new features of your card and about the possibilities to use the card at the S Group outlets.

How can I prohibit marketing?

You can submit a direct marketing prohibition by contacting our customer service at s-business@sok.fi.
