Data protection is part of every job
We only process the personal data about our employees and job applicants that is required by law or for the payment of wages, for example. We store and process personal data of our current employees and employees who have already left us. After the termination of the employment relationship, the data will be stored only for as long as the data may be needed in order to, for instance, prepare up a reference for an employee whose employment relationship has terminated. We store the data of our job applicants for the statutory period of time in connection with recruitment. As a rule, the S Group’s employer companies operate as independent data controllers with regard to the personal data of their employees and job applicants. In other words, the data is saved in the employee and job applicant registers of the company in question, such as a cooperative or SOK. What personal data about me do you have in your job application system

You can view your information saved in our job application system by logging in to the system. The system contains the information you provided in connection with the job application. We may also have other information about you, such as a suitability assessment (in specialist positions), or any other survey results.With regard to this information, you can contact the HR unit of the S Group company (such as a cooperative or SOK) from which you applied for a job. Do you have a form for submitting a request for access to my personal data?

You can view your personal data saved in our job application system by logging in to the system. There is no need to fill out any forms.

How long will you retain my data for?

We will retain your job application information for a maximum of two and half years after the recruitment process is closed. After this period of time, the information will be automatically deleted. The retention times are based on the statute of limitations defined in the Act on Equality between Women and Men and the Non-discrimination Act.

Whom do I contact regarding the processing of my personal data?

What should I do if I want to delete all of my information from your systems?

You can find contact details of S Group’s data controllers from here.Please note, however, that we may not be immediately able to delete all of your information: if you submitted an application for an open position of us, we will retain the applicants’ data until the end of the employer selection contesting period.

Employees

For which purposes is my personal data used?

We will only collect information about you that is necessary for your employment relationship. In addition to your contact details, we must have, for example, information about your bank account for salary payments. We will also ask you for the contact details of your emergency contact person so that we know whom to contact in case of an emergency involving you. During your employment, we will also obtain information about your health if, for example, you have to be absent from work due to an illness.

Who can see my data?

We have carefully defined the roles and people who can view employee data at different levels. You will also be able to view in the HR system the basic data of your S Group colleagues, such as their names, positions in the organisation and their employer companies. Naturally, your supervisor will have access to your data. The HR unit and payroll accounting also include people who have the right to view and process employees’ personal data due to their duties.

How can I check my personal data?

You can view your personal data directly from the HR system yourself. You can view personal data in other systems by contacting your employer company’s HR unit.

Whom should I contact if my data is incorrect or some piece of data has changed?

Please contact your supervisor if you are unable to update the incorrect information yourself in the HR system.

I no longer work for the S Group, and I do not want my former employer to retain my data. What should I do if I want to delete all of my information from your systems?

As an employer, we have the right to retain some of your data also after your employment has been terminated. For example, you have the right to request a reference for a period of ten years from the end of your employment; for us to be able to draw up a reference, we need to retain your data for a sufficiently long period of time.In addition, we have the right to retain your personal data for as long as any employment-related matters could be subject to subsequent disputes based on law.
